COUNTIF

Math & Aggregationbeginner

COUNTIF counts how many cells match a criterion. It's the counting equivalent of SUMIF — instead of adding values, it counts rows. You'll use this for frequency analysis, data validation checks, and quick tallies across categories.

Syntax

Excel:=COUNTIF(range, criteria)

Google Sheets: Same syntax

Parameters

rangeThe range of cells to evaluate.

criteriaThe condition that determines which cells to count (e.g., "Paid", ">10000").

? = optional parameter

Worked Example

You want to know how many invoices are from the Engineering department.

Formula

=COUNTIF(A2:A11, "Engineering")

Result

COUNTIF scans A2 through A11 and counts each cell that equals 'Engineering'. In this sample, the matches are A2, A4, A6, A9, and A11.
